Terms of Service

These Terms govern your access to and use of TapID - the digital identity, NFC/QR profile, connection CRM, event networking and analytics platform operated by SYNAPSEUS TECHNOLOGIES (PRIVATE) LIMITED.

1. Introduction

These Terms of Service (the “Terms”) govern your access to and use of TapID, including the website located at thetapid.com, TapID web pages, mobile applications, NFC/QR-enabled digital profile services, business card and contact management features, event-related services, corporate features, analytics, integrations, and any current or future features offered under the TapID name (collectively, the “Services”).

The Services are provided by SYNAPSEUS TECHNOLOGIES (PRIVATE) LIMITED, a company registered in Sri Lanka under company registration number PV00276933, with its registered office at 191, Kesbewa Road, Werahera, Boralesgamuwa, 10290, Sri Lanka (“Synapseus”, “we”, “us”, or “our”).

By accessing or using the Services, creating an account, using a TapID card, registering for an event, creating an event, accepting an invitation, or otherwise interacting with TapID, you agree to these Terms. If you do not agree to these Terms, you must not use the Services.

2. Definitions

EventAn event, meeting, seminar, training, conference, networking function, private gathering or other event created or managed through TapID.
ContentInformation, text, images, profile details, contact details, links, event materials, uploaded files or other materials submitted by users.

3. Eligibility and Authority

  • You must have the legal capacity to enter into these Terms and use the Services in accordance with applicable law.
  • If you use TapID on behalf of a company, organization, event organizer or other entity, you represent that you have authority to bind that entity to these Terms.
  • Younger users may use TapID only with appropriate parent, guardian, institutional or organizational consent where required by law or context.
  • We may refuse, suspend or terminate access if we reasonably believe a user is not eligible, is using the Services unlawfully, or is violating these Terms.

4. Description of the Services

TapID is designed to help users turn real-world meetings, card taps, QR scans, business introductions, event participation and networking interactions into organized, follow-up-ready relationships. The Services may include, without limitation:

  • NFC and QR digital profiles and smart business cards;
  • Public profile pages, vCard save features and contact exchange forms;
  • Connection CRM, lead management, notes, tags, timelines and 24-7-30 follow-up reminders;
  • Business card scanning, OCR intake and contact conversion tools;
  • Company workspaces, company-issued cards, team controls and company-owned lead retention;
  • Event registration, ticketing readiness, QR tickets, check-in, attendee management and analytics;
  • Opt-in event networking, attendee directories and post-event follow-up tools;
  • Subscription, billing, plan gating, admin tools, notifications, integrations and reporting;
  • Current and future TapID features released by Synapseus.

We may update, improve, modify, suspend, replace or discontinue any part of the Services from time to time. Certain features may be released as beta, pilot, experimental, limited-access or future features.

5. Accounts, Login and Security

  • You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
  • You must provide accurate, current and complete account information and keep it updated.
  • You must notify us promptly if you suspect unauthorized access, misuse or a security issue affecting your account or TapID card.
  • We may require account verification, email verification, password reset, two-factor authentication or additional security steps.
  • We may suspend or restrict accounts that appear compromised, fraudulent, inactive, abusive, unlawful or in breach of these Terms.

6. User Content and Public Profiles

You are responsible for the information, links, images and other content you submit, upload, publish, share or make available through TapID. TapID profiles are designed to be shared. If you choose to publish information on your public profile, QR code, NFC card destination, event profile or attendee networking profile, that information may be visible to other users or the public depending on your settings and the relevant feature.

You acknowledge and agree that Synapseus is not responsible for consequences arising from information that you voluntarily publish, share, disclose or make public through TapID, including contact details, social links, business information, event information, photos, profile content or other materials. You should not publish information that you do not want others to see, save, copy, contact, use or share.

By submitting Content to TapID, you grant Synapseus a non-exclusive, worldwide, royalty-free licence to host, store, process, display, transmit, reproduce and use that Content only as necessary to provide, operate, secure, improve and support the Services.

  • You must not upload unlawful, misleading, infringing, abusive, defamatory, obscene, harmful or unauthorized Content.
  • You must not use TapID to impersonate another person, misrepresent your identity, or falsely represent affiliation with a company or event.
  • You must have the necessary rights, permissions and consents for any Content you upload or share.
  • We may remove or restrict Content that we reasonably believe violates these Terms, applicable law, platform security, user privacy or our policies.

7. NFC/QR Cards, Tokens and Physical Products

TapID cards, NFC devices, stickers, QR codes and related physical products are linked to digital profiles, routes or destinations. You are responsible for how you use, distribute, display, transfer or activate physical TapID products.

  • A TapID card or QR code may open a public profile, lead form, event page, custom link or other destination selected by the user or authorized account holder.
  • You are responsible for ensuring that the destination linked to a TapID card is accurate, lawful and appropriate.
  • If a TapID card is lost, stolen, transferred or compromised, you should update or deactivate the relevant token or contact us for assistance.
  • Physical cards and NFC devices may be subject to product availability, printing lead times, courier delays, hardware limitations, device compatibility issues and third-party device/browser behavior.
  • NFC functionality may vary depending on phone model, operating system, device settings, case thickness, NFC availability and user behavior.

8. Connections, Leads and Follow-Up Tools

TapID may allow users to collect, manage, organize, follow up and export connections or leads. You are responsible for using these features lawfully, respectfully and in compliance with applicable privacy, marketing, communications and anti-spam requirements.

  • You must only collect and use contact information where you have a lawful basis, consent, legitimate business reason or other permission to do so.
  • You must not misuse TapID to spam, harass, mislead, scrape, sell or unlawfully disclose contact information.
  • Follow-up reminders and message templates are productivity tools only. You are responsible for the content and legality of any communication you send.
  • TapID does not guarantee that a connection, lead, attendee or contact will respond, purchase, meet, convert or provide business value.

9. Company Workspaces and Company-Owned Leads

TapID may allow businesses and organizations to create Company Workspaces, issue TapID cards to employees, manage company-owned leads, view team analytics and reassign leads. Where a TapID card, profile, event or lead is created, issued, funded, managed or controlled by a company, the relevant data may belong to or be controlled by the company, subject to applicable law and the company’s internal policies.

  • Company-issued TapID cards and leads collected through company cards, company campaigns, company events or company workspaces may be treated as company-owned records.
  • If an employee leaves a company, the company may retain and reassign company-owned cards, company-owned leads and company-related relationship records.
  • Employees may continue to access their personal TapID account, subject to these Terms and their account settings, but may lose access to company-owned records and workspaces.
  • Company admins are responsible for assigning roles, managing employee access, maintaining correct workspace data and complying with employment, privacy and internal governance requirements.
  • Synapseus is not responsible for disputes between companies and employees regarding ownership of business relationships, data, leads or cards, except to the extent required by applicable law or agreed in a separate written contract.

10. Events, Ticketing, Attendees and Event Networking

TapID may support event creation, registration, ticketing readiness, check-in, attendee management, event analytics and opt-in networking. Event organizers are responsible for the accuracy, legality and delivery of their events and event information.

  • Event organizers are responsible for event descriptions, dates, venues, speakers, pricing, refund policies, entry rules, capacity, safety, permissions and compliance with applicable laws.
  • TapID may provide registration, ticketing, payment readiness, QR tickets, check-in tools, attendee lists and analytics, but does not guarantee event attendance, payment settlement, attendee behavior, business outcomes or event success.
  • Attendees are responsible for providing accurate registration information and complying with event rules.
  • Event networking features may display attendee details such as name, company, role and profile only when the attendee has opted in or where the feature permits visibility under the applicable settings.
  • Users who opt in to event networking acknowledge that their selected information may be visible to other participants, organizers, sponsors or permitted users based on the event settings.
  • Synapseus is not responsible for interactions, communications, business dealings, disputes, misuse, follow-up or consequences arising between event participants, organizers, sponsors or third parties outside our reasonable control.

11. Payments, Subscriptions, Card Orders and Fees

Certain TapID features, NFC cards, printed or customized cards, card packs, subscriptions, setup services, event services, ticketing functions, add-ons, business/corporate plans, enterprise services, integrations or other commercial services may require payment. Pricing, billing cycles, taxes, payment methods, commissions, platform fees, transaction fees, instalment charges, feature entitlements and limits may vary by product, service, plan, event, country, currency, customer type or agreement.

TapID may accept payments through one or more approved payment methods, including but not limited to online payment gateways, card payments, bank transfers, cash payments, corporate invoice payments, manual payment confirmations, OnePay, OneTicket, Koko Pay, MintPay, instalment payment providers, buy-now-pay-later providers, banking partners, or any other payment method or payment provider approved by Synapseus from time to time.

Available payment methods may vary depending on the product, service, subscription plan, event, customer type, country, currency, payment provider availability or internal approval process. Synapseus may add, remove, suspend, replace or change payment methods at any time without prior notice.

  • You are responsible for providing accurate payment, billing, registration, invoice, tax, reference and contact information.
  • Access to paid features may be suspended, downgraded or restricted if payment is failed, delayed, disputed, reversed, refunded, cancelled, overdue, fraudulent or not verifiable.
  • Bank transfer, cash, corporate invoice and manual payment reference reconciliation may require manual or automated verification and may not be immediate.

No Refunds / Final Sale

Unless expressly required by applicable law or specifically agreed in writing by Synapseus, all payments made to TapID are final and non-refundable.

This includes, but is not limited to, payments made for NFC cards, printed or customized cards, card packs, setup fees, subscriptions, event services, ticketing services, platform fees, event networking add-ons, digital profile services, business/corporate plans, enterprise services, instalment payment plans, and any other paid TapID product or service.

Payments made by cash, bank transfer, online payment gateway, card payment, instalment provider, OnePay, OneTicket, Koko Pay, MintPay, or any other approved payment method are treated as final once received, processed, confirmed, authorized or activated.

No refund will be provided for:

  • change of mind;
  • incorrect information submitted by the user, customer, attendee, event organizer or company representative;
  • failure to use the TapID card, profile, event ticket, subscription, plan or service;
  • loss, damage or misuse of a physical card after delivery or collection;
  • delays caused by third-party payment providers, banks, instalment providers, hosting providers, event organizers, courier services, internet providers, mobile networks or user devices;
  • event non-attendance by a registered attendee;
  • suspension or termination caused by violation of these Terms;
  • services already activated, configured, delivered, printed, customized, provisioned, published or made available;
  • payment provider fees, processing fees, instalment charges, bank charges, convenience fees, gateway fees, currency conversion fees or transaction fees.

Where a payment is made through an instalment, deferred payment, buy-now-pay-later, credit, banking or third-party finance provider, the user may also be subject to the separate terms, conditions, charges, repayment obligations, late payment rules, approval requirements and policies of that provider. TapID and Synapseus are not responsible for any decision, delay, rejection, charge, penalty, dispute, repayment obligation, credit assessment or other obligation imposed by such third-party payment or finance providers.

For paid events, the applicable event organizer is responsible for defining and communicating any event-specific cancellation, postponement, transfer or refund policy. TapID is not responsible for refunding event tickets or event-related payments unless TapID is expressly acting as the seller of record and has separately agreed to such refund terms in writing.

Any approved refund, credit, replacement or adjustment will be at the sole discretion of Synapseus, subject to applicable law, payment provider rules and the specific circumstances of the transaction.

Synapseus may change pricing, plans, included features, limits, payment methods, payment providers, billing structures, fees or commercial terms from time to time. Changes will apply prospectively unless otherwise stated or agreed in writing.

12. Third-Party Services, Integrations and Infrastructure

TapID may use or integrate with third-party services, including but not limited to hosting providers, analytics tools, payment processors, ticketing partners, email providers, cloud storage providers, CRM platforms, automation platforms and infrastructure providers such as DigitalOcean, Cloudflare, Google Analytics, OnePay and OneTicket.

  • Third-party services may have their own terms, privacy policies, availability, limitations, security practices, fees and processing rules.
  • We are not responsible for third-party outages, delays, provider errors, settlement issues, downtime, data processing practices, account actions, API changes, payment failures or service limitations outside our reasonable control.
  • Where third-party terms apply, you agree to comply with those terms when using the relevant feature or integration.
  • We may add, remove, replace, suspend or modify third-party integrations and infrastructure providers as needed to operate, improve or secure the Services.

13. Acceptable Use Rules

You must use TapID responsibly and lawfully. You agree not to:

  • Use the Services for illegal, fraudulent, harmful, abusive, threatening, defamatory, obscene, discriminatory or misleading purposes;
  • Collect, scrape, export, sell or misuse personal data without permission or lawful basis;
  • Send spam, unsolicited marketing, phishing messages, scams or deceptive communications;
  • Upload malware, harmful code, viruses, scripts or content that damages or disrupts the Services;
  • Attempt to bypass security, access accounts, data, admin areas, APIs or systems without authorization;
  • Reverse engineer, copy, modify, resell, rent, sublicense or commercially exploit the Services except as permitted by Synapseus;
  • Use TapID to impersonate another person, company, sponsor, organizer or authority;
  • Interfere with other users, events, attendees, companies or platform operations;
  • Use the Services in a way that damages TapID, Synapseus, our users, partners, reputation, infrastructure or legal compliance.

14. Intellectual Property

The TapID name, logo, brand identity, software, platform design, workflows, interfaces, graphics, databases, code, documentation, product concepts, templates, analytics structures and related materials are owned by Synapseus or its licensors and are protected by applicable intellectual property laws.

  • These Terms do not transfer ownership of TapID intellectual property to you.
  • You may use TapID only as permitted under these Terms and any plan, subscription, order or written agreement with Synapseus.
  • You retain ownership of your lawful Content, subject to the limited licence required for us to operate the Services.
  • You must not use TapID branding, logos, screenshots or materials in a misleading, unauthorized or damaging manner.

15. Privacy and Data Protection

Your use of TapID is also governed by our Privacy Policy and, where applicable, our Cookies Policy. These documents explain how personal data, cookies, analytics, event data, payment references, device data, profile information and related information may be collected, used and shared.

Where you collect, upload, manage or export personal data of other people through TapID, including leads, event attendees, employee records or scanned business cards, you are responsible for ensuring that you have the necessary rights, consents, lawful basis and notices required under applicable law.

16. Service Availability, Updates and Beta Features

We aim to provide reliable Services, but we do not guarantee that TapID will be uninterrupted, error-free, secure, compatible with all devices, available in all countries, or free from data loss, delays, defects or third-party interruptions.

  • We may carry out maintenance, updates, security fixes, infrastructure changes or emergency actions that temporarily affect availability.
  • Some features may be released as beta, pilot, experimental or future-ready features and may be incomplete, changed or discontinued.
  • NFC, QR, analytics, email, payment, hosting, mobile and browser functionality may depend on third-party systems and user devices.
  • We may modify, suspend or discontinue features where required for security, legal compliance, business reasons, user safety or platform improvement.

17. Disclaimers

To the maximum extent permitted by applicable law, the Services are provided on an “as is” and “as available” basis. Synapseus disclaims all warranties, representations and conditions, whether express, implied or statutory, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, availability, uninterrupted operation, compatibility, business results, networking results, event results or lead conversion.

TapID provides tools for identity sharing, lead capture, relationship management, follow-up, events, networking and analytics. We do not guarantee that using TapID will result in business deals, referrals, meetings, revenue, attendance, sponsorship value, lead conversion, relationship success or any particular commercial outcome.

18. Limitation of Liability

To the maximum extent permitted by applicable law, Synapseus, its directors, officers, employees, contractors, affiliates, suppliers and partners shall not be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for loss of profits, revenue, business, goodwill, data, opportunities, contacts, events, reputation or anticipated savings, arising out of or related to your use of or inability to use the Services.

To the maximum extent permitted by applicable law, our total aggregate liability arising out of or relating to the Services or these Terms shall not exceed the amount actually paid by you to Synapseus for the relevant Services during the three (3) months immediately before the event giving rise to the claim, or LKR 10,000 if no amount was paid, unless a different limit is required by applicable law or agreed in a separate written contract.

Nothing in these Terms limits liability that cannot be limited under applicable law.

19. Indemnity

You agree to indemnify, defend and hold harmless Synapseus, its directors, officers, employees, contractors, affiliates, suppliers and partners from and against any claims, losses, damages, liabilities, penalties, costs and expenses, including reasonable legal fees, arising out of or related to:

  • your use or misuse of the Services;
  • your Content, public profile information, event information, messages or uploaded materials;
  • your violation of these Terms, applicable law or third-party rights;
  • your collection, use, disclosure, export or misuse of personal data, leads, attendee data or scanned business cards;
  • your event, company workspace, employee relationship, attendee interaction or third-party communication;
  • any dispute between you and another user, company, employee, attendee, event organizer, sponsor, customer, supplier or third party.

20. Suspension and Termination

We may suspend, restrict, deactivate or terminate your account, access, cards, event pages, integrations or other Services if we reasonably believe that:

  • you breached these Terms or applicable law;
  • your account, card, event or content creates risk, harm, security concern, legal exposure or abuse;
  • payment is overdue, failed, reversed, disputed or fraudulent;
  • your use affects other users, infrastructure, partners, third parties or platform integrity;
  • we are required to do so by law, court order, regulator, payment provider, hosting provider or other authority.

You may stop using TapID at any time. You may request account deletion, public profile removal, data export, correction or marketing opt-out by contacting hello@synapseus.com, subject to legal, accounting, security, backup and operational retention requirements.

21. Changes to These Terms

We may update these Terms from time to time to reflect changes in our Services, business model, legal requirements, security practices, integrations, pricing, policies or operations. Updated Terms may be posted on thetapid.com, within the app, or communicated through other reasonable means. The updated Terms will take effect from the stated effective date. Continued use of the Services after the effective date means you accept the updated Terms.

22. Governing Law and Dispute Resolution

These Terms are governed by and interpreted in accordance with the laws of Sri Lanka. Subject to any mandatory legal rights you may have under applicable law, the courts of Sri Lanka shall have jurisdiction over disputes arising out of or relating to these Terms or the Services.

Before commencing formal legal proceedings, you agree to first contact us at hello@synapseus.com and attempt to resolve the matter in good faith. This does not prevent either party from seeking urgent legal relief where necessary.

23. General Terms

  • These Terms, together with the Privacy Policy, Cookies Policy and any applicable order forms, plan terms, event terms or written agreements, form the agreement between you and Synapseus for the Services.
  • If any provision of these Terms is found invalid or unenforceable, the remaining provisions will remain in effect.
  • Our failure to enforce any provision does not waive our right to enforce it later.
  • You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign or transfer our rights and obligations in connection with business restructuring, merger, acquisition, sale of assets or legal reorganization.
  • Headings are for convenience only and do not affect interpretation.
